Executive Assistant to CEO

Job description
We are seeking a highly organised, professional, and discreet Personal Assistant to directly support the CEO while managing administrative operations that support the smooth running of the company.
This is a fully on-site role with high levels of confidentiality, executive-level interaction, and external coordination with suppliers, partners, customers, and distributors.
The role requires excellent organisational skills, strong attention to detail, confidence, a proactive mindset, and the ability to independently manage multiple streams of responsibility.
Main Duties:
CEO Executive Support:
• Full diary/calendar management for the CEO: appointments, internal/external meetings, calls, and events
• Coordinate international and domestic travel for CEO and other team members as required
• Prepare meeting materials, agendas, minutes, and follow-up action plans
• Act as the first point of contact/gatekeeper for external communications directed towards the CEO (customers, suppliers, distributors, and partners)
• Handle confidential information, correspondence, and documentation professionally
• Manage CEO’s internal and external communication scheduling
Administrative & Operations Coordination:
• Book company-wide travel and accommodation for all staff as required
• Coordinate product and package shipments to customers and international distributors
• Oversee logistics for company events, trade shows, and customer visits
• Maintain and monitor inventory levels for office supplies, consumables, and operational stock
• Manage supplier/service provider relationships (utilities, courier services, office suppliers)
• Coordinate administrative reporting related to logistics, inventory, and office operations — reporting to the CFO when required
Office & General Administration:
• Maintain accurate filing systems, documentation, and internal records
• Assist with the preparation of reports, presentations, and formatted documents
• Organise and support internal meetings, taking minutes where required
• Support hospitality for visitors, clients, and guests at the head office
Ability to commute/relocate:

Coalville: reliably commute or plan to relocate before starting work (required)

Ideal Candidate Profile:
• 1–3 years prior experience as Personal Assistant, Executive Assistant, Office Coordinator, or Administrative professional
• Highly organised, proactive, and confident, managing multiple priorities
• Excellent written and verbal communication skills
• Strong interpersonal skills, able to professionally interact with senior stakeholders and external partners
• Discreet and trustworthy with confidential information
• Proficient with MS Office, Outlook, Excel, PowerPoint, and modern office systems
• Able to work independently and take initiative
• Fully on-site role in Coalville office
• Open to occasional travel when required
Education:
GCSEs or A-Levels (required)
Further administrative or business qualifications are desirable but not essential
